Help Topic: Billable Hours (Shift vs Calculated)

There are 2 main options for calculating the Billable Hours that will be entered onto a Candidate's timesheet at the point they Check Out using the App:

  1. The pre-defined Billable Hours set against the Shift at the point the Shift is created
  2. The number of Billable Hours between the Candidate's declared Start and End Time including any declared Breaks

 

Pre-Defined Billable Hours

The most common method is to use the pre-defined Billable Hours.  These hours are defined when the Shift is created and determins the number of Billable Hours that would apply to the Shift based on the Start and End Times for that Shift, excluding any statutory or agreed breaks.

For example, a Shift may be between 9am and 5pm which is 8 hours.  Allowing 1 hour for breaks in that Shift means the Billable Hours is 7 hours in total.

This means that regardless of the declared Check In and Check Out times, or breaks defined, the pre-defined Billable Hours will be used for the Timesheet and therefore all Invoicing and Payroll information.

To ensure that this method is used by the App, set the Clock In/Out to "No, units of time only" which is normally the default setting in Tracker in the Placement record under Timesheet Settings:

 

 

Calculated Billable Hours

If you want the Shift to have default Start and End Times but allow the final number of hours to be determined by the Candidate at the point of Check In and Check Out then set the Clock In/Out to "Yes, clock in and out time" in the Placement record under Timesheet Settings:

 

At the point the Candidates Checks Out on the App, they will be asked to confirm the Check Out Time and any breaks they have taken.

The App will then calculate the number of hours between the Start Time (declared at Check In) and the End Time at Check Out and subtract any time between Breaks taken.

For example, if the Check In Time was 9am and the Check Out Time was 5pm but a Break was declared for 1 hour between 12pm and 1pm then the Timesheet will have 7 hours entered.
