Help Topic: All Records Lists - How they Work


In the existing version, many clients navigate to a main record list using the "All ......" option (e.g. All Candidates) and then continue to use filtering to identify records they want to find.

Depending on the number of records in Tracker (some could be millions), this causes undue delay in waiting for "all" records to load when in fact users will very rarely scroll through "all" records, instead filtering using the filter bar or selecting a save view.

For this reason we have removed the "All ...." option in favour of just the record themselves, for example on Candidates, "All Candidates" has been replaced with just "Candidates":

 

The behaviour of this options depends on a couple of factors and designed to better navigate your data:

 

If opening a list for the first time (since logging on)

When you open (for example) the "Candidates" list for the first time, instead of seeing "all" records, you will see the following:

 

You can still see "all" records if you wish by clicking the "View All Candidates" button in the middle of the page, however this filter bar will automatically appears allowing you to set filter selections and locate records quicker.

 

Subsequent opening of a list

If you are selecting the "Candidates" options subsequent times then Tracker will open the list to show the exact same results as when you left it.  This applies to custom filter selections, Saved Views etc allowing you to make filter selections and return to that same list each time you visit "Candidates". 

This will update with each change you make to the list ensuring that this option always brings you back to the point you left off.

This options applies to all main record types on the menu.

 

Why this change?

A key focus on Phase 6 was the logical flow of data and also better performance.  Using "All ...." each time could request millions of records for often little purpose so this will improve both the performance for yourself and your colleagues.

It also ensure that filtered lists are not created more than once as these details are stored and returned to each time.
