What's New in March

March is a big one.

Alongside improvements to search, job board applicant management, and data integrity, the AI Assistant for job specifications has had a significant overhaul and we're also introducing brand new Natural Language Longlist Searching.

This month also brings Hot Bosses, giving you a smarter way to turn candidate placements into business development leads, new controls over how job board applicants are parsed and routed, greater flexibility in postcode radius searching, and a raft of usability improvements across timesheets, invoices, and email templates.

Whether you're generating a job spec, finding the perfect candidate, managing a high-volume role, or keeping your records clean and consistent, there's something here for you.

New Features


AI Assistant for Job Specs and Natural Language Longlist Searching 

The AI Assistant for job specifications has been redesigned as a guided, step-by-step process, making it easier than ever to generate a polished, professional job description.

Natural Language Longlist Searching is a brand new feature that lets you describe the candidate you're looking for in plain English and instantly surfaces the best matches from your database.

These two features work brilliantly together , use the AI Assistant to build your spec, then let Natural Language search use it to build your Longlist criteria automatically.

Job Board Applicants – Application Parsing Controls 

You now have greater control over how candidates who apply via job boards are handled in Tracker, right down to the individual job level.

A new global default setting lets you define your preferred behaviour across the board. You’ll find this in Tools & Settings > Job Settings> Job Board Settings.

Using Layout Designer, you can add the Applicant Settings block to your job records, allowing you to override the system-wide default when viewing an individual job.
 
 
 
On the job record, the Applicant Routing dropdown in the Applicant Settings block lets you override the system default. If no job-level preference is set, Tracker falls back to the system default automatically.
 
 
When an application comes in, you can now choose exactly what happens next:

No, don't automatically parse applicants - the applicant appears on the Job Board Applicant block only, but no candidate record is created. This keeps your candidate database clean and uncluttered if you're not ready to bring them in.

Yes, automatically parse applicants - a candidate record is created automatically and they're linked to the job via the Job Board Applicants block, without being added to the shortlist or longlist. Perfect for keeping track of all applicants while deciding who to progress.

Yes, automatically parse and shortlist applicants - a candidate record is created and they're immediately added to the job's shortlist, so your most promising applicants are ready to review straight away.

Yes, automatically parse and longlist applicants - as above, but candidates land on the longlist instead, giving you a structured way to capture wider applicant pools before narrowing down.

Whether you're managing high-volume roles differently from niche searches, or simply want a cleaner workflow for speculative applications, this feature puts you in the driving seat.

Job Board Applicants – Candidate Application 

In addition to the above, a new Candidate Application option has been added to the Applicant Settings block.

This lets you choose a specific Web Form (with the association “Candidate”) for applicants to use when applying to a job, overriding the standard Apply form and automatically updating the Direct Apply link in the Job Posting tab.

If you need to capture specific information upfront, this is a great way to do it, cutting down on time spent reviewing CVs or running initial screening calls.

Beat the Market | Target Candidates Past Manager 

When you place a candidate, their manager is often your next best lead — they'll need to backfill that vacancy, and you're already one step ahead. The new Manager field makes it easy to capture and act on that connection without any extra legwork.

Capturing the relationship - A new Manager field has been added to the Work & Personal Information block on the Candidate record, letting you link directly to a Contact in Tracker.

Turning it into pipeline - Use Add Manager to Contact Send List from the Action menu on the Candidate record to instantly target that manager for Business Development outreach. You can also do this in bulk from the Candidate Record View — select one or more candidates and add their linked managers to a Send List in a single action.

Getting ahead of the market - Search for recently registered candidates, identify their managers, and you have a ready-made list of contacts who are likely to have positions to fill. Use it to fire off targeted marketing campaigns or generate fresh leads before your competitors even know the role is available.

Feature Updates


Postcode Radius Filters – Additional Distance Options

Postcode radius filters across Candidate, Company, Contact, and Job record finds, and Longlist searches, now include every mile/km increment between 5 and 10.

Previously the options jumped straight from 5 to 10 miles/km. You can now filter at 6, 7, 8, and 9 miles/km, giving you more precise control over your search radius.

Job Board Applicants – Shortlist Management

Previously, once a candidate was shortlisted from the Job Board Applicants block, the individual Shortlist button became greyed out, making it impossible to remove them using that button alone.

You can now select one or more shortlisted candidates using the tick boxes and use the Shortlist Selected button at the top of the list to remove them in bulk.

This makes it much easier to keep your Job Board Applicants list tidy and manageable — whether you're removing a single candidate or clearing several at once.

Company Type added to Mandatory Fields

We all know how important high quality data is and the benefits of keeping your database clean and consistent are huge. Mandatory Data gives you the power to stipulate exactly what information must be captured at the point of creating and saving a record, so nothing slips through the gaps. Think fewer incomplete records, better reporting, and a database you can actually rely on.

With the latest addition of Company Type as a Mandatory Data option, you can now ensure this key field is always populated when a company record is created or saved. Whether you're segmenting your clients, filtering your pipeline, or running targeted activity, having Company Type consistently recorded means your data works harder for you from the moment it enters Tracker.

When creating a new company record the Company Types will be displayed as a list for you to choose from. Holding down control on your keyboard will allow you to multi-select Company Types.

 

You will also be prompted to complete this field when saving an existing company without this data.

And don't forget, Mandatory Data isn't just for companies. You can set mandatory requirements across other record types in Tracker too, giving you full control over the quality and consistency of your entire database.

Job Board Applicants - RAG Rating Visibility

Previously, opening an applicant's Quick View gave no indication of whether a RAG rating had already been applied, leaving you to cross-reference the list just to check. That's now fixed.

The active rating is highlighted with the others dimmed, so the status is immediately clear the moment you open the Quick View. No interruptions, no back-and-forth, just a faster, smoother applicant review workflow.

 


Longlist Candidates - RAG Rating Visibility

Scrolling through Candidate Quick Views on your Longlist now shows RAG ratings right where you need them.

A fix has been applied so the rating is visible directly in the Quick View, keeping your shortlisting workflow moving without the constant back-and-forth to the Longlist to check where each candidate stands.

 

 


Template Organization - User Groups

Finding the right email template just got easier.

You can now assign templates to a User Group,

This means when you're searching for one to use, ticking My Templates surfaces both your personal templates and any assigned to your group, no more hunting through irrelevant templates or maintaining duplicate copies just to share them across your team.

The result is a cleaner, faster workflow that keeps the right templates within easy reach, right when you need them.

 


Timesheet View — Sort Orders 

Sorting through timesheets just got faster.

Whether you're tracking down a missing submission or checking the status of a candidate's timesheet, sort order controls across all three tabs mean you find what you need without the friction.

Here's where you'll find them:

Timesheets | Project (Assignment), Delivery Contact, Candidate

Missing Timesheets | Project (Assignment), Candidate

Submissions | Date, Submitted to Contact

 
 

Sort by Batch Date on Invoices View 

A new sort order has been added to the Invoice View allowing you to sort the list by Batch Date (e.g. the date sent to any integrated Accounts System).

This gives you more flexibility on how you work with your data.

 
 

Clock In / Clock Out, Zero Hours Submissions

Chasing candidates for missing timesheets, only to find out they simply didn't work that day, is now a thing of the past.

Candidates using Clock In / Clock Out can now select I Did Not Work This Day directly in the Candidate Portal, making it easy to submit zero hours and keep your timesheets complete without the unnecessary back-and-forth.

The option is also available in the Mobile App, so candidates can submit accurately no matter how they prefer to log their time.

Placement View | Job Compliance

Managing Candidate Job compliance just got easier. The Compliance column is now available in Placement Views, giving you a real-time snapshot of compliance status across your entire placement list, no need to open individual records.

For each placement, you can see at a glance the total number of compliance items required for the job, how many have been verified, and how many are still outstanding.

A new Compliant/Non-Compliant filter lets you quickly isolate placements that need attention, making it easier to spot gaps, prioritise follow-up, and keep your compliance process on track before issues arise.

For example, filter by Offer Extended and Non-Compliant to instantly see every candidate who still has outstanding compliance items before they are placed, giving you time to act before it becomes a problem, reducing last-minute delays, and providing a clear, reportable view of compliance across your pipeline that would previously have required opening records one by one.

You can also use the filter at the start of each week to run a quick compliance health check across all active placements, catching anything outstanding early and keeping your records audit-ready at all times.
