Screening Questions Improvements
We've made several improvements to the Screening Questions workflow, including a new dedicated Screening tab on the candidate quick view (accessible from a Job's Shortlist card), alongside the existing management options within the CompAir tab.
Sending Screening Questions
A new "Open & Send Screening" button now appears in both areas. Clicking it opens a modal that handles all screening actions in one place. This modal can also be accessed via the Shortlist card dropdown by selecting Screening Questions.
Within the modal, a new Type area clearly separates Questions and Video Screening options, and you can still select a Screening question template as before.
Once a template is selected, you'll notice a significantly improved workflow. Previously, screening question emails were sent immediately with no option to edit them, and video screening required multiple steps. Both of these have been addressed:
- Commit and Get Link – Generates a unique URL you can share manually.
- Send to Candidate – Opens the email composer in a single step, with the option to insert the link directly.
Tracking & Viewing Screening Questions
Once questions have been sent, the new Screening tab provides several sub-tabs to help you track responses:
Summary
An at-a-glance overview of what has been sent and what is still outstanding.
Screening Questions
Shows what was sent, when, and whether it has been completed. A Copy Link button is also available should questions need to be resent.
Video Screening
The same detail and copy link functionality, specific to video responses.
Generating AI Screening Questions
Following the workflow changes above, when using AI Generate to produce the list of questions to send, you will need to ensure that "Video & Screening Defaults" are set for Introductory and Closing Text.
These can be added under Tools & Settings > Collaboration > Video & Screening, where you can scroll down to find the relevant section.
Screening API
New API endpoints have been added for Screening Questions, enabling customers to add screening questions to job postings on their own website and retrieve the candidate's answers directly into Tracker — creating a seamless, efficient workflow for recruiters.
Agency Details
We have made changes to the Agencies block on Candidate records.
Previously, a candidate could only be linked to a single Agency. This update introduces Agency History, allowing multiple agencies to be associated with a candidate over time.
This is particularly useful for candidates who move between Umbrellas, Limited Companies, and other company types depending on the placement - a scenario common with IR35 engagements.
Candidate Record Changes
-
The Agency Information block is now read-only and includes a new Effective Date field. The agency displayed here is the one identified as current.
-
A new Agency History block has been added, listing all agencies associated with the candidate record, ordered by Effective Date.
New agency links can be added via the + icon in the Agency History block; existing entries can also be edited. In both cases, a modal will open where agency details can be entered, with an option to link to an Agency record.
An Agency record is a Company record where the assigned Company Type has the Supplier parameter set to Yes.
Because Effective Date is used to determine the current agency, it is a mandatory field.
Placement Record Changes
To complement this flexibility, the Agency Information block is now also available on Placement records in a read-only format.
Users can select the relevant agency for a specific placement using the dropdown next to the Agency Name field. If a new agency needs to be added, this must be done from the Candidate record first - it can then be selected on a per-placement basis.
For new placements, the candidate's current agency will be pre-selected automatically upon creation.
Quick View Activity Tab
We've made several enhancements to the Activity tab in Quick Views.
-
Flexible Activity filtering - Users can now filter by Activity type and by time period (last 30, 60, or 90 days, or Everything), making it faster to find exactly what they're looking for.
-
Customisable columns - Users can add and remove columns to surface the data most relevant to them.
-
Reorderable columns - Users can drag columns into any order, keeping their most important data front and centre.
Tag Text Styling
Tag Text can now be styled to ensure important notices stand out and aren't missed.
Choose from Background and Outline colour options, and preview how your tag will look before saving.
Placement Address
Placements now include two new fields: Site Company and Site Location (the Site Company's default address, or selectable from a dropdown if multiple addresses exist).
These fields are pre-populated based on the company linked to the job or placement, but can be updated to a different company, useful in scenarios such as a third-party end site.
