Overview
Available on Tracker Pro and Enterprise only. Requires the Docusign integration.
You can send Documents Templates that have been genereate on a Candidate or Placement record through Docusign, without needing to build a Docusign template first. Selected documents are passed straight into a Docusign envelope, ready to prepare and send.
To create a document from a Document Template, including how merge tags work, see Using Document Library for Document Templates. The workflow using Docusign templates is also available, see Sending a Docusign Form From a Candidate Record and Sending a Docusign Form to a Placement
Sending Document Template through Docusign
Open a record, then go to Action Menu > Send a Form and click Docusign. This loads the Send a Form window.
At the top of the window, the Source Document drop-down controls what happens next:

What it does |
|---|---|
|
Docusign Template |
The previous workflow, unchanged. Choose a template from your Docusign account, then review the email subject, body, roles and Docusign merge fields before sending. This is the default when the window opens. |
|
Record Document |
The new workflow. Choose one or more documents already attached to the record and continue in Docusign. |
To send a document that is already attached to the record (e.g. via the Document Template route), choose Record Document and follow these steps:
-
Set Source Document to Record Document. A table lists every document linked to the record, showing the file name and type icon, the document type in Tracker, when it was last modified and who modified it.
-
Tick one or more documents.
-
Click Continue in Docusign.
A new browser tab opens with Docusign on its prepare screen (you may be asked to log in to Docusign first). Tracker passes in:
-
Your selected documents, added to the envelope in the order you selected them.
-
The candidate's first name, last name and email address, added as the first recipient. This only happens if the candidate has an email address on their record, which Docusign requires. You can edit or remove the recipient in Docusign if needed.
From here the workflow continues in Docusign, where you add any further recipients and fields and send the envelope.
Tracking sent and signed documents
Once an envelope has been sent, the document that was sent is attached to the source record in its Documents block. You can check its status at any time in the Form Sends block. When everyone has signed, the signed copy is also attached to the record's Documents area.
