Help Topic: Placement Approval | Approval Requirements

Overview

Tracker Pro & Enterprise Tiers.

When Placement Approvals is enabled, the Placement Approval block on a placement record lists everything that must be complete before the placement can be sent for approval. It shows what is done, what is missing, and lets you fix it from the same screen.

Benefits

  • Consultants see exactly what is outstanding instead of guessing why the submit button is missing.

  • Missing data can be updated in place, even when it is held on another record such as the candidate or job.

  • Placements reach approvers complete, so fewer requests are rejected for missing information.

Before you start

Reading the Placement Approval block

Requirements are grouped by record type: Core Placement, Candidate, Placement and Job custom fields.

Expand each group to see what is missing or complete.

Symbol

Meaning

Green tick

The requirement is met.

Red cross

The requirement still needs completing.

Pencil icon

Update the field from here, wherever it is held in the system - no need to navigate to anothe record.

If requirements are not met, a Placement Requirements Not Met message explains that the fields must be completed before approval can be requested.

Completing missing requirements

  1. Open the placement and go to the Placement Approval block.

  2. Expand each record type to find items with a red cross.

  3. Click the pencil icon next to a missing item.

  4. Enter the value and save.

  5. Check that every item shows a green tick.

When all requirements are met, the Submit Placement Approval button appears in the placement banner. See Placement Approval | Sending for Approval.

Core fields, custom fields and Company Agreement

Core Placement fields are the standard fields on the placement record, Placement Custom Fields have their own area, shown where they have been set as mandatory.

Company Agreement refers to the Company Agreement field in the Details block of the placement. It links the placement to a specific agreement, which is different from the company simply having valid agreements. It must be an active agreement.

More details can be found on Company Agreements in the Company Compliance & Company Agreements help file.

Example scenario and tips

Example: A consultant opens a placement for a forklift driver and finds no Submit button. In the Placement Approval block, the Core group shows a red cross against Pay Rate and the Placement group shows one against Right to Work Checked. She clicks the pencil on each, completes them, sees all ticks, and the Submit Placement Approval button appears.

Tips

  • Requirements for candidate and job fields can be fixed here without leaving the placement.

  • If the Company Agreement shows a red cross, check the client has an active agreement covering this job type.
