Help Topic: Saving and Publishing Shift Planner changes


Please note that Shift Management is not available for the the Starter Package

As changes are made to the Shift Planner, for example, shifts added, changed or removed, these are stored in the Planner.

You can see how many changes have been stored as they are made by looking at the Save & Publish button in to top right corner of the planner. 

There is also a banner show that changes are waiting to be saved:

 

Because shifts can be adjusted many times before a final schedule is ready, shifts are only committed and broadcasted to Candidates once the Save & Publish button is clicked.  

This ensures there is no confusion should shifts change while being filled, and also so that we can amalgamate the changes and provide a summary email to the Candidates.

When Saving & Publishing Shift Planner changes, there are 2 options for communicating the changes to the Candidate:

 

Send App Notifications

This will send a notification to the Candidates' smartphone (iPhone or Android) and appear in their normal notifications area along with other smartphone notifications.  Tapping the notification will take them automatically to the App and the Notifications page in the App.

Tapping the Notification will take them to the relevant page, for example, tapping the above "Shift Proposal" notification will take them to the Shifts page in the App where they can confirm or reject the shifts proposed.

 

Send Email Notifications

This will send an email to the Candidate with a summary of the changes made to all shifts at the point the Save & Publish button was clicked:

You can configure the wording and content within this email by going to Tools & Settings > Resource Tools > Time & Expense Settings > Template Settings

Go to the "Shift Confirnation" tab and compose the email as you require:
