Overview
Tracker Pro & Enterprise Tiers
When Placement Approvals is on, an extension of any type follows the same approval workflow as a placement. The extension record is only created once it has been approved, and it is then linked to the original placement as normal.
Benefits
-
New terms for an extension are checked before they take effect.
-
The original placement is untouched while approval is pending.
-
Workers can keep submitting timesheets in the meantime.
Before you start
-
Require Placement Approvals must be set to Yes (see Placement Approval | Permissions, Settings & Mandatory Data).
-
The job must be a non-shift job.
-
You need to know who should approve the extension. The approval window is the same as for a placement (see Placement Approval | Sending for Approval).
Submitting an extension for approval
-
Open the placement and start a new extension to open the Create Extension window.
-
Choose the extension type (Task, Date or Full) and set the extension dates.
-
Click Submit Approval. With approvals on, this yellow button replaces Ok.
-
In the Placement Approval Request window, choose the working status and approvers, using one approver or ordered groups.
-
Click Submit.
Approvers are emailed and review the request in the usual places. See Placement Approval | Reviewing, Approving or Rejecting. In the request list, an extension appears with "Extension" after the candidate's name.
Approval or rejection
|
Outcome |
Result |
|---|---|
|
Approved (final group cleared) |
The extension record is created and linked to the original placement |
|
Rejected |
No extension record is created and the original placement is unchanged |
After a rejection, the submitter can start a new extension straight away.
Timesheets while approval is pending
Timesheets can continue to be submitted against the original placement while the request is pending. The existing Revoke and Resubmit for Approval flow is unchanged.
Example scenario and tips
Example: A contractor's placement ends on 31 October but the client wants him for three more months. The consultant starts a Date Extension, sets the new end date and clicks Submit Approval. The team lead approves, the extension record is created, and the contractor's timesheets carry on without a gap. If she had rejected it, the consultant could submit a corrected extension immediately.
Tips
-
Submit extensions in good time so approval completes before the current end date.
-
If the client's agreement has since expired, it does not carry over to the new record.
