Help Topic: Candidate Settings


This lesson goes through all of the Settings for your Candidates 

To get to Candidate Settings, click into your name at the top, right hand corner of the screen and goto Tools & Settings.  In the Application Settings section on the left of the screen, you will see Candidate Settings half way down the list. 

GENERAL SETTINGS

Default Candidate Status:

  • The first option within General Settings is the Default Candidate Status dropdown.  In here will be a list of the all of the Statuses which you have created in your system for a Candidate.  So generally, the default would be Active for when the Candidate is initially created as they are actively looking for work.  You may change the default here if required.

Duplicate Resume on Parse Action:

When a Candidate sends you a Resume and you 'Parse' it into the system, you can choose here whether to:

  • 'Accept and Update' the Candidate record with any additional information that may be available
  • Or, if there is a match found on either the email address or mobile phone, reject the CV as a duplicate so nothing is changed.

Default Candidate Ownership:

  • If there is a particular user who will always need to be the owner of Candidates when they are created, you will need to selct their name from the Default Candidate Ownership dropdown list.

 

Fixed Job Titles:

If you wish to create a 'Fixed List' of Job Titles, you may do so and have

  • 'Yes, Fixed List' selected to force your Users to select from a list. 

Or,

  • 'No, Free Text Titles' and allow your users to manually add a Job Title if it is not available from the list.
Log Portal Logon as Activity:
  • Setting it to 'Yes' will log an activity in that candidate's record each time they logon to their Candidate Portal.

PORTAL SETTINGS

Enter Timesheets by Default:

 

This setting, if set to

  • 'Yes, by Default' means that your Candidates will be given access to your Portal to enter Timesheets, however, this can be changed within an individual Candidate record if it is not required. 
  • Setting it to 'No' will mean you need to add this privilege each time you add a new Candidate to the system. 

 

Online Documents by Default:
  • If you wish to give your Candidates access to the Online Documents section on your Portal as soon as they are created, you will need to select 'Yes, by Default' here.  This will mean they can view any documents you have added to your Document Library and shared to the Portal. 
  • This can be changed at the Candidate record if not required, but you can also select 'No' if you want to restrict this completely.

Upload Documents by Default:

 

 

  • To permit your Candidates to upload Documents, such as copies of Passports, or Forms, you can select 'Yes, by Default' here to set it for every Candidate when they are created.  This can be changed within an individual Candidate record, if it is not required. 
  • Setting it to 'No' will mean you need to add this privilege each time you add a new Candidate to the system. 

 

Shifts & Pay History: 

  • To give access to the Shifts tool along with Pay History of the shifts worked, you can select 'Yes, by Default'. This will enable shifts and pay history to be available in the candidate portal be default for any new candidate you add to the system.

Availability:

  • To give access to the Availability tool where candidates can enter their availbility to work, you can select 'Yes, by Default'. This will enable Availability for any new candidate you add to the system. 

Enter Expenses:

  • To give access for candidates to submit expenses either separately, or together with their timesheets, you can select 'Yes, by Default'. This will enable this setting for any new candidate you add to the system.

Maketing and Declaration:

  • To allow candidates to choose whether they would like to enroll to marketing campaigns and sequences, select 'Yes, by Default'. This will give the ability for candidates to opt out entirely, or pick which communication methods to enroll if they opt in for any new candidate you add to the system.

Submit Approvals:

  • To allow candidates to enter timesheets in for approval, select 'Yes, by default' to enable this for any new candidate that enter your system. 

Allow Daily Timesheet Navigation:

  • To allow candidates to navigate each day of the week by default, select yes for any new candidate you add into your system.
  • Please note, this only applies to the Tracker OTM mobile application.

PORTAL MESSAGE

The portal message section in the candidate settings are where you can create a list of standard or common messages that candidates can then select from, which will save time from the candidate's side when responding. You can add new messages, edit existing ones, and delete ones that are no longer needed. Please note, these messages are used from the Tracker OTM mobile app for candidates to respond from. This will not apply in the web version of the candidate portal. 

 

REGISTRATION SETTINGS

Allow Registration:

 

  • To allow Candidates to register on your Website Portal, select 'Yes, show the link on the Portal'.
  • If you do not want to allow online registration, select 'No, hide the link on the Portal'.
Allow CV Registration:
  • If you wish to allow Candidates to upload their CV to your Website Portal, select 'Yes' from this dropdown. 
  • To restrict this option,select 'No'.

 

Allow Manual Registration:
  • Allowing manual registration means that the Candidate can populate their details and submit them on the Portal, without a CV.  Select 'Yes' to permit
  • Or select 'No' to restrict this option
Show Skills Page on Registration:
  • If you have Skills created in your system, you can choose to push these out to the Portal and allow Candidates who are registering the option of ading their own Skills.  Select 'Yes' to allow
  • Select 'No' to add Skills at a later point

 

Show References Page on Registration:
  • If you want to give Candidates the option of uploading References when they Register on the Portal, select 'Yes'
  • If not, please select 'No, skip this page'
Show Upload page on Registration:
  • If you wish to allow candidates to upload supporting Documents to the Portal, such as a copy of their Passport for example, select 'Yes' here
  • If not, select 'No, skip this page'

CANDIDATE STATUSES

Candidate Statuses:

  • Candidate Statuses help you to asceratain the current situation for a Candidate in your database.  All of these statuses are completely customizable so they may look different on your system. Options such as “Assigned, Inactive, On Billing and Rejected” Are all most likely Inactive statuses. By choosing to mark a Candidate as Inactive he/she is no longer an active Candidate in our database.
  • If you wish to edit or delete any of the Statuses, click on the relevant row and select 'Edit' or 'Delete'.  To add additional Statuses, click the green 'New' button and enter the details. 

 

 

CANDIDATE TYPES

Candidate Types:

  • A Candidate Type refers to the type of work they may be looking for, such as Permanent or Contract in this example.  
  • To edit or delete any of these options, click the appropriate row and select 'Edit' or 'Delete'.  To add a new Type, such as 'Temporary', click the green 'New' button and add the details.

CANDIDATE SOURCES

Candidate Sources:
  • A Candidate Source tells you where the person came from to be created on your system, such as a Job Board, or perhaps an advertisment you ran.  This helps you to get a feel for where you better Candidates are coming from for future reference. 

CANDIDATE PROSPECT STATUSES

Candidate Prospect Statuses

  • To understand more about Candidate Prospecting, please go to our help file on this topic. 
  • These Statuses can be selected when you have matched a Candidate as a Prospect to a Client or Contact so you and your colleagues can see exactly what stage in the process the Candidate is at.  To edit or delete any of these options, click the appropriate row and select 'Edit' or 'Delete'.  To add a new Type, such as 'Temporary', click the green 'New' button and add the details.

JOB TITLES

Job Titles:
  • You will create options here for your Users to select a Job Title when they create a Candidate, but you may also make this a free text field.  (Please refer to the Fixed Job Titles section under General Settings at the top of this page to understand a little more about this list.)
  • To edit or delete any of these options, click the appropriate row and select 'Edit' or 'Delete'.  To add a new Job Title, click the green 'New' button and add the details.

 

ETHNIC ORIGINS

Ethnic Origins:
  • Should you wish to, you can add an Ethnic Origin to your Candidate record and create a list here of all of the options. 
  • To edit or delete any of these options, click the appropriate row and select 'Edit' or 'Delete'.  To add a new Job Title, click the green 'New' button and add the details.

AGENCY WORKERS REGULATIONS ALERTS

Agency Workers Regulations Alerts:

 

  • If AWR has been applied against a particular Job and Candidate, you can edit, delete or add Alerts into this section.  You will be notified of these alerts in order to keep within all of the required timefrmaes for AWR.
