Setup & Licensing
As an admin, when I complete the initial setup, will the integration turn on for every user automatically, or does each person need to enable it in their own settings?
Only one person needs to activate the integration for the whole database. Once done, it is enabled for all users, no individual setup is required.

What LinkedIn license do I need?

Standard RPS or LinkedIn Recruiter → unlocks RSC (candidate export + context surfacing)

RPS+ or Hiring Assistant → unlocks RSC+ (unified applicant evaluation via LinkedIn's agent)
What's the difference between RSC+ and RPS+?
RPS+ is LinkedIn's premium tier that unlocks Hiring Assistant. RSC+ is the ATS integration that enables unified applicant evaluation and management, including Hiring Assistant ranking ATS applicants.
Do I need a specific version of Tracker?
No, any Tracker subscription works. You just need the appropriate LinkedIn license.
Does this work with LinkedIn Sales Navigator?
No, this integration is for LinkedIn Recruiter / Professional Services only.
Who can an Admin assign Hiring Assitant licences to in LinkedIn?
An admin can assign a Hiring Assistant license to the following users:
- Recruiter User
- Recruiter Admin
- Custom Role with a Hiring Project Creator license and the Recruiter Searcher permission
User access and visibility
Not everyone in our company has a LinkedIn Recruiter license, but we all have LinkedIn accounts and use Tracker. What will non-Recruiter users see when the integration is turned on?
The option to open the LinkedIn widget is visible to all users. However, if a user without a Recruiter license opens the widget, they will be prompted to log in with an account that has Recruiter access. Until they do so, they will not be able to view the candidate's LinkedIn information or any ATS-related data.
Is there a way to stop InMails syncing for certain users? For example, we have a team of 10 — 9 want InMails syncing, but 1 does not, as they handle internal hiring only.
If records in both platforms are synced, any InMails sent via a Recruiter account will appear in Tracker and will be visible to anyone with access to that record. It is not currently possible to disable InMail syncing for specific users unless they do not hold a Recruiter license.

Where do I connect a Tracker job to a LinkedIn project?
In LinkedIn Recruiter, go to the Projects tab and click "Connect ATS requisitions."

Who can connect a job from Tracker to LinkedIn?
You must be listed as an owner on the job in Tracker. LinkedIn Admins can also assign ownership and have access to all jobs regardless of ownership.
Can multiple recruiters work on the same LinkedIn project?
Only one owner can be assigned to a LinkedIn hiring project, but recruiters can collaborate at the Tracker level.
Can a recruiter see a job in LinkedIn Recruiter they don't own?
Only LinkedIn Admins can see all jobs regardless of ownership. They can assign ownership to others as needed.
Is it possible to link an existing LinkedIn project to an existing Tracker job and have applicants sync across?
When in the Connect ATS Job Requisitions screen you have the options under the "Recruiter project to connect" column, which by default will show Connect to new project, you can choose an existing project from the dropdown.
This won't automatically assign candidates to the job in Tracker. You'd need to use one of the workflows to shortlist them, for example via LinkedIn use the Export to ATS option, or via Tracker any of the shortlisting workflows, including from the LinkedIn pop-out from the candidate record.
Applicants & Candidate Data
Can I export more than one profile at a time to a Tracker job?
No, profiles must be exported one at a time.
What if I want to add someone to Tracker but don't have a current job for them?
You can still export proactive candidates via RSC, they just need to be tied to a requisition, such as a placeholder or evergreen job.
For candidate records added more than two years ago, what steps are needed to connect them to LinkedIn?
No data changes are needed beforehand. Simply opening the candidate record and clicking either Save button will trigger the relevant webhook. This initiates the matching process, which checks whether a LinkedIn member link already exists. If no link is found, Tracker will attempt to find a matching LinkedIn member and link the records automatically.
If a candidate is shortlisted to a job but their Tracker record is not synced with a LinkedIn profile, what happens?
The evaluation will still run, but it will be based on their resume only, rather than both their resume and LinkedIn profile. You can click the candidate's name to view their summary and ranking, and use the Export to ATS option as normal.
Will LinkedIn pull applicant data from all agencies using Tracker?
No. It only pulls data tied to requisitions that have been manually connected to a LinkedIn Hiring Project by a project owner or admin.
What Candidates does Hiring Assistant rank?
Only candidates on jobs with an active, connected LinkedIn Project. It does not automatically rank across all Tracker jobs.
Is the LinkedIn ranking visible to Tracker users without an RSC+ license?
Yes, the ranking categories appear on the shortlist card and are visible to all Tracker users.
Can I see my colleagues' InMail activity or only my own?
With contract-level RSC access enabled, users can see InMail and notes synced to Tracker for that contract, including activity from colleagues on the same contract.
If a candidate applies through LinkedIn and they are not already in our database, will a new record be created in Tracker automatically and appear in the shortlist?
No, a LinkedIn Member applying to a LinkedIn Job will not trigger automatic candidate creation in Tracker.
There are only four ways a candidate can be created or matched via the integration:

Bulk Sync - This matches and links existing candidates in the database to matching LinkedIn Members. The bulk sync only includes candidates with a Last Updated Date/Time within the last two years from the date the integration was enabled. There are additional criteria a candidate must meet to be included, such as having a First Name and Last Name. The full list of required data fields is available on request.

Live Sync (Webhooks) - Candidates added to the database after the bulk sync has completed will have a match searched for and, if successful, will have the matching LinkedIn Member linked to their record. Live sync webhooks are also used to update candidate information in LinkedIn, and to process candidate deletions from Tracker.

Export to ATS - This is the primary method of creating a candidate from a job or connected project, and is always a manual process. A duplicate check is performed when the exported data is received. If an existing record is found, it will be updated with data from the candidate's LinkedIn profile. If no match exists, a new candidate is created. The duplicate check uses the following data in order of priority: LinkedIn Profile URL > Email > Name.

InMail Stub Profile - If the LinkedIn organisation account has the integration configured to use InMail Stub Profiles, when a user sends a LinkedIn Member an InMail, that member will be prompted to share their data with the organisation. If they accept, a set of basic profile data is collected and processed. A duplicate check is performed in the same way as Export to ATS. If an existing record is found it will be updated; if not, a new candidate is created. Note that this is a timed process that runs every hour, so the candidate may not appear in Tracker immediately.
What exactly is an InMail Stub Profile?
When a user sends a LinkedIn Member an InMail, the recipient is shown a prompt asking whether they'd like to share their information with the user or organisation. If they accept, a set of basic profile data is collated and sent to Tracker for processing. If a matching record already exists, it will be updated with the stub profile data. If the candidate doesn't exist in Tracker, a new record is created.
It's worth noting that this is a timed process that runs every hour, so the candidate will not appear in Tracker immediately after the InMail is sent.
Can Tracker bring in skills from a candidate's LinkedIn profile? How does skill mapping work?
Yes, when an Export to ATS is performed, LinkedIn provides the candidate's top three skills (the top three member-highlighted skills, or the three most recent skills if the member hasn't highlighted any). This isn't based on specific skill categories, it simply pulls whatever the top or most recent three skills are from the candidate's LinkedIn profile.
Tracker then compares those skills against your Quick Skills dictionary using the Skills Search endpoint. If a match is found, the existing quick skill is applied to the candidate record. If no match is found, the skill is discarded. This means only skills that already exist in your Quick Skills dictionary will be brought across, LinkedIn skills that don't match an existing entry won't create new ones.
LinkedIn Hiring Assistant and Tracker
LinkedIn's Hiring Assistant can review applicants and flag those who are not a fit. What does this look like in Tracker?
For candidates shortlisted to the job, the Evaluation Summary (including their rank) is added to Activities against the Placement record in Tracker.
If I find a candidate under the LinkedIn Search results who hasn't been shortlisted, why can't I see their rank and evaluation summary, how do I get them into Tracker, and what should I do if the reevaluate option is missing in the Hiring Assistant?
For candidates who appear in the search results area but have not been shortlisted, a rank and summary will not be displayed directly, but remember they would be a match as they have been returned in the search as they match the hiring assistant criteria.
However, you can expand their LinkedIn profile, review the ATS tab, and use the Export to ATS option to sync them to the job. They will then appear on the Applicants tab and on the job record in Tracker. Next you will need to reevaluate the applicants via the Hiring Assistant. The Summary and Rank would be generated and also be added as an Activity against the Placement record in Tracker.
Note. if you have been moved Hiring Assistant licences between users you may find the option to reevaluate is missing. You will need to go to the Project Settings and toggle on "Hiring Assistant Automation", this will give you the option in the Hiring Assistant to reevaluate.
