Help Topic: Introduction to Dynamic Rates


Dynamic Rates lets you define flexible pay and bill rate structures for temporary placements - instead of relying on a single flat rate. Tracker automatically works out the right pay and charge for every shift, based on a set of rules you configure once.

What Are Dynamic Rates?

Rather than setting one rate per placement, Dynamic Rates calculates pay and bill rates based on factors like:

  • Time of day the candidate worked (e.g. day shift vs. night shift)

  • Day of the week (e.g. weekday vs. weekend rates)

  • Overtime thresholds (e.g. anything over 8 hours a day, or 40 hours a week)

  • Time on assignment (e.g. stepped rate changes to support AWR compliance or probation periods)

Key Points

  • Applied at placement level, so different workers on the same assignment can sit under different rules

  • Candidates simply clock in and clock out - Tracker runs the calculation behind the scenes

  • Currently supports hourly rates only

  • Available for Professional & Enterprise tier customers

Where Are They Created?

Dynamic Rates are configured in Tools & Settings > Back Office. This is where you'll build out the Rule Sets that later get applied to shifts and placements. Step-by-step configuration walkthroughs are covered in the Creating Dynamic Rates & Rate Tester help file (see below for a link) - this article just introduces the concepts you'll see there.

Key Concepts

Every Dynamic Rates setup is built from three connected parts:

  • Rule Sets - the top-level container. Each one is defined by a Client (optional, leave blank to make it available to all clients), a Position (work type), and an optional description.

  • Rate Rules - sit inside a Rule Set and define the actual pay and bill rates for specific time/day conditions. The first Rate Rule added to a set is automatically treated as the default.

  • Overtime Rules - also sit inside a Rule Set, and define the thresholds at which overtime kicks in, linking to a dedicated Rate Rule to supply the premium rate.

A few things worth knowing before you start building:

  • Rate Rules and Overtime Rules work in conjunction with each other, so it's worth planning your structure out first

  • The recommended order is: base Rate Rules first, then Overtime Only Rate Rules, and finally the Overtime Rules that link them together

  • Rule Sets, Rate Rules, and Overtime Rules can't be deleted once created, only deactivated

  • Existing Rule Sets can be duplicated, which lets you use them as templates for similar setups
